Replying to E-Mail

You may have noticed as you composed the last few e-mail messages that entering an e-mail address in the TO: field each time is a bit tedious. It is also an opportunity to make a mistake.

Mailserver computers are notoriously unforgiving… one little mistake, one extra space, a forgotten period, even upper and lower case letters in the wrong place are enough to bounce an e-mail message back undelivered. Don’t worry, it happens to all of us!

There are some shortcuts that eliminate many of the opportunities for error. Both Outlook Express and Web Mail have a Reply option which we will explore in this activity.

Outlook Express:

  1. Open Outlook Express
  2. Select the last e-mail message that your online guide sent to you and open it.
  3. With this message displayed on the screen, click on the Reply button in the toolbar.
  4. A new e-mail message form should appear on your screen with the To: field already addressed to your online guide
  5. The Subject: field should have the title of the last message already entered. You can leave this or select, delete and change the subject
  6. The message body field will have the text of the previous message displayed with a > character to the left of each line.
  7. You can erase part or all of the >text of the previous message (if it is displayed on the screen) by holding down the mouse button while you drag across the >text to select it and then hitting the delete key. You may want to leave parts of the previous message in the new message and add comments in your reply message.
  8. Type your reply message
  9. Enter your e-mail address in the Cc: field
  10. SEND the message.
  11. You will notice that the original message now has a little blue arrow icon indicating that you have replied to the original message.

Web Mail

  • Open Web Mail
  • Select the last e-mail message that your online guide sent to you and open it.
  • With this message displayed on the screen, click on the Reply button in the gray toolbar.
  • A new e-mail message form should appear on your screen with the To: field already addressed to your online guide
  • The Subject: field should have the title of the last message already entered. You can leave this or select, delete and change the subject
  • The message body field will have the text of the previous message displayed with a > character to the left of each line.
  • You can erase part or all of the >text of the previous message (if it is displayed on the screen) by holding down the mouse button while you drag across the >text to select it and then hitting the delete key. You may want to leave parts of the previous message in the new message and add comments in your reply message.
  • Type your reply message
  • Enter your e-mail address in the Cc: field
  • SEND the message.
  • You will notice that the original message now has a little envelope with a blue R icon indicating that you have replied to the original message.

The Reply To All option found in both Outlook Express and Web Mail functions in a similar way. You can use this feature if you have received an e-mail message addressed to multiple recipients. Selecting the Reply to All option allows you to send a response to everyone on the recipient list at the same time.
