Another useful
option of e-mail is the ability to send along a file attached to the e-mail
message. This is especially useful when you are working on collaborative
projects with colleagues in other locations or when you want to send along
a document that you composed earlier. You can attach text files, spreadsheets,
database files, and even graphic images to an e-mail message.
Important
Note: Make sure the recipient has the application necessary to open
the file before you send it. There is nothing more frustrating than
receiving a file and then not being able to open it. Within the Kings
Canyon Unified School District system, this shouldn't be a problem as
a standard set of software is installed on all district computers.
In this
activity, you will select a file from your own computers hard
disk and send it back to your own e-mail address as an attached file.
Outlook
Express:
- Open
Outlook Express.
- Open
a new message addressed to your address.
- In the
SUBJECT: field, type attached file
- In the
body of the message type This message has a file attached. Describe
the file and indicate which file format is being used (text, graphics,
etc). Note: It is always a good idea to tell the recipient
that a file is attached and to include information about the file
format.
- Click
on the Add Attachments button in the toolbar.
- The
Choose Object dialog box will appear.
- Click
the pointing finger icon and select Desktop from the
drop-down list that appears.
- Navigate
to the location where the file you wish to attach is saved.
- Click
once on the file that you wish to attach and then click on the Choose
button.
- You
will notice that the name of the file now appears next to Attachments:
below the Subject: line.
- If you
wish to add another file, repeat the steps above.
- Send
the message. The message and the file that you attached will be sent.
Viewing
Attached Files with Outlook Express:
- Click
on Send and Receive to retrieve the message with the attached
file
- Open
the message.
- Click
the little purple triangle icon next to Attachments:
- A new
box containing the attached file will appear.
- Click
once on the file name to select the file.
- Click
on Open (on the right side of the Attachments: box to view
the file.
- Click
on Save to save the file to your desktop or hard drive
- Click
Remove to delete the attached file.
Web
Mail:
- Open
Web Mail
- Click
on Compose
- Address
a message to your own e-mail address
- In the
Subject: box, type attached file
- In the
body of the message type This message has a file attached. Describe
the file and indicate which file format is being used (text, graphics,
etc). Note: It is always a good idea to tell the recipient
that a file is attached and to include information about the file
format.
- Click
on the Browse.. button below the message
- Navigate
to the location on your computer where the file you wish to attach
is saved.
- Click
once to select the file and then click on Open.
- The
file will be attached to your e-mail message.
- If you
wish to add another attached file, click on the second Browse...
button and follow the steps above to attach the second file.
- You
can attach up to three files to each message.
- Send
the message and the attached files.
Viewing
Attached Files with Web Mail
- Return
to the INBOX to retrieve the message
- When
you view the message, you will either notice that the attached file
is displayed on the screen or that a paperclip icon is displayed
on the screen.
- Double-clicking
on the paperclip icon will launch the Download Manager and
then application associated with the file and display it on
the screen.
- You
can print or save the document directly from the application that
opened the file.
Note the
date when you completed this activity on your logsheet.
