Attaching Files to E-Mail Messages

Another useful option of e-mail is the ability to send along a file attached to the e-mail message. This is especially useful when you are working on collaborative projects with colleagues in other locations or when you want to send along a document that you composed earlier. You can attach text files, spreadsheets, database files, and even graphic images to an e-mail message.

Important Note: Make sure the recipient has the application necessary to open the file before you send it. There is nothing more frustrating than receiving a file and then not being able to open it. Within the Kings Canyon Unified School District system, this shouldn't be a problem as a standard set of software is installed on all district computers.

In this activity, you will select a file from your own computer’s hard disk and send it back to your own e-mail address as an attached file.

Outlook Express:

  1. Open Outlook Express.
  2. Open a new message addressed to your address.
  3. In the SUBJECT: field, type attached file
  4. In the body of the message type This message has a file attached. Describe the file and indicate which file format is being used (text, graphics, etc). Note: It is always a good idea to tell the recipient that a file is attached and to include information about the file format.
  5. Click on the Add Attachments button in the toolbar.
  6. The Choose Object dialog box will appear.
  7. Click the pointing finger icon and select Desktop from the drop-down list that appears.
  8. Navigate to the location where the file you wish to attach is saved.
  9. Click once on the file that you wish to attach and then click on the Choose button.
  10. You will notice that the name of the file now appears next to Attachments: below the Subject: line.
  11. If you wish to add another file, repeat the steps above.
  12. Send the message. The message and the file that you attached will be sent.

Viewing Attached Files with Outlook Express:

  1. Click on Send and Receive to retrieve the message with the attached file
  2. Open the message.
  3. Click the little purple triangle icon next to Attachments:
  4. A new box containing the attached file will appear.
  5. Click once on the file name to select the file.
  6. Click on Open (on the right side of the Attachments: box to view the file.
  7. Click on Save to save the file to your desktop or hard drive
  8. Click Remove to delete the attached file.

Web Mail:

  1. Open Web Mail
  2. Click on Compose
  3. Address a message to your own e-mail address
  4. In the Subject: box, type attached file
  5. In the body of the message type This message has a file attached. Describe the file and indicate which file format is being used (text, graphics, etc). Note: It is always a good idea to tell the recipient that a file is attached and to include information about the file format.
  6. Click on the Browse.. button below the message
  7. Navigate to the location on your computer where the file you wish to attach is saved.
  8. Click once to select the file and then click on Open.
  9. The file will be attached to your e-mail message.
  10. If you wish to add another attached file, click on the second Browse... button and follow the steps above to attach the second file.
  11. You can attach up to three files to each message.
  12. Send the message and the attached files.

Viewing Attached Files with Web Mail

  1. Return to the INBOX to retrieve the message
  2. When you view the message, you will either notice that the attached file is displayed on the screen or that a paperclip icon is displayed on the screen.
  3. Double-clicking on the paperclip icon will launch the Download Manager and then application associated with the file and display it on the screen.
  4. You can print or save the document directly from the application that opened the file.

Note the date when you completed this activity on your logsheet.
